Terms and conditions of sale

These terms are the contract between you and us when you order cards or accessories on this website. Please read them before you pay. If anything is unclear, ask us.
1. About these terms
This website is run by Valesta Group LTD (“we”, “us”, “our”), trading as Simplecard Business. We are registered in England and Wales under company number 14468408. Our registered office is 60 Tottenham Court Road, Suite 5062a, Fitzrovia, London, W1T 2EW, United Kingdom. Our VAT number is GB 494 4988 21. You can email us at support@business.simplecard.example.
“You” means the person or organisation placing the order. Some parts of these terms apply only to one kind of customer:
- Consumers are individuals buying wholly or mainly for purposes outside their trade, business, craft or profession.
- Business customers are everyone else, for example companies, charities, clubs, schools, public bodies and sole traders buying for their business.
Sections marked “Consumers” or “Business customers” apply only to that kind of customer. Everything else applies to everyone. If you order on behalf of an organisation, you confirm that you are allowed to do so and the organisation is the customer.
These terms work together with our website terms of use, our privacy notice, our cancellations, returns and refunds page and, for organisations that upload other people's details, our data processing agreement. The contract is in English only.
2. What we sell
- Printed cards, such as staff ID, membership and visitor cards, made from the design you create or approve. Depending on the product you can choose a card type (for example a standard card or a card with an NFC, MIFARE or proximity chip) and, where offered, chip programming.
- Accessories, such as lanyards and card holders. Unless a product page says it is printed or made to your specification, accessories are standard stock items.
Product pages describe each product and its options. Pictures, including card previews with example names and photos, are illustrations. Colours on your screen may look slightly different from the printed card.
3. How ordering works
These are the steps to place an order:
- Choose a template and how it is printed. On the product page you choose whether your cards are printed on the front only or on the front and back. The price depends on this choice. You can change it in the editor until you approve your proof, and your basket shows the choice you made.
- Design your card and add your people. Type in each person's details or import a spreadsheet and photos.
- Save it to your account. To upload photos, see proofs or order, you give us your name, email address and organisation name. We email you a link to set a password.
- Check and approve your proof. We show a proof of every card. You approve it before it can go in your basket (see section 5).
- Review your basket. Check the designs, the number of cards, the card type and any accessories. You can change quantities or remove items.
- Checkout. Choose a delivery address and a delivery option. The order summary shows the price of each item, delivery, VAT and the total.
- Pay. The pay button shows the total you will pay. You pay on Stripe's secure payment page.
- Confirmation. We email you to confirm your order. You can see the order, its status and your receipt in your account.
Correcting mistakes: until you pay, you can go back and change anything. You can edit a design (it then needs a new proof approval), change quantities, remove items from your basket and change your delivery address or option.
We keep a record of your order and your approved proofs, and you can see them in your account. The version of these terms that applies to your order is the one in force on the day you ordered. We recommend that you save or print a copy.
4. When the contract is made
The contract between us starts when your payment is complete and we send you the order confirmation email. If the payment fails, or you leave the payment page without paying, no contract is made and you are not charged.
A person checks every paid order before printing. We may cancel an order and refund everything you paid if:
- the order contains content we will not print (see section 7);
- we cannot deliver to the address you gave us;
- there was an obvious error in the price or description (see section 8); or
- we cannot supply the product for reasons outside our control.
If this happens we will tell you why by email and refund you in full.
5. Your proof and approval
The proof shows each card as it will be printed. We make it from the same files we use for printing.
Checking the proof is your responsibility. Before you approve, please check carefully:
- names, job titles, departments, ID numbers and dates, including spelling;
- that each photo matches the right person and is clear;
- logos, colours and layout, and that nothing important is outside the dotted safe area shown in the editor;
- that QR codes and barcodes contain the right information (scan them from the proof if you can); and
- whether you chose front only or front and back.
We print what you approve. We do not check whether the personal details you give us are correct, because we have no way to know. The editor warns you when, for example, a photo is too small to print sharply. If you approve a proof despite a warning, the printed result may reflect it.
Printing on plastic cards can vary slightly in colour and in the position of the design. Small variations within normal printing tolerances are not a fault.
Changes after approval: you can change a design and approve a new proof at any time before you pay. After you have paid, contact us as soon as possible. If we have not started preparing your cards we will try to help, but we cannot promise to. If we find a problem when we check your order, we may put it on hold and ask you to approve a corrected proof. We never change a card without your approval.
6. Your content and your people's details
You are responsible for everything you add to a design, including logos, photos, names and other details (“your content”). By uploading or typing your content, you promise that:
- you own it or have permission to use it, including any logos and trade marks;
- you are authorised to order the cards, including by the organisation named on them;
- the people shown on the cards have been told how their details will be used, and you have a lawful basis to give them to us; and
- your content is lawful and does not break section 7.
You keep ownership of your content. You give us a non-exclusive, royalty-free licence to use, copy and adapt it (for example to resize a photo or convert colours for printing) only to show you previews and proofs, print and deliver your order, keep the records we need and provide the service to you. We do not use your content or your people's details for our own marketing.
Business customers: you will make good any reasonable losses and costs we incur because of a claim that your content breaks the law or infringes someone else's rights.
7. Cards we will not print
We will not print cards that:
- look like or could be mistaken for identification issued by the police, a government department, the NHS, the armed forces, the emergency services, a court or any other public authority, unless you are that organisation or are authorised by it and can show us;
- imitate an official identity document, such as a passport, driving licence or national identity card;
- are meant to deceive, for example by giving someone a false identity, or showing someone as working for or belonging to an organisation they are not part of;
- use a logo, trade mark, photo or design you do not have permission to use; or
- contain anything unlawful, threatening, hateful, obscene or discriminatory.
Making or using such cards can be a criminal offence. We may ask you to show that you are authorised to order a card before we print it. If we decide not to print an order, we will cancel it and refund you in full. We may report suspected crime to the police.
8. Prices and VAT
Prices are in pounds sterling (GBP). The price of cards depends on the product, the number of cards, whether they are printed on the front only or on the front and back, the card type and chip options you choose, and a set-up charge per design where one applies. Your basket and the checkout show the price of each item, the delivery charge, the VAT and the total before you pay. The total on the pay button is what you pay. There are no hidden charges.
For deliveries outside the United Kingdom, the destination country may charge import duties, taxes or handling fees. These are not included in our prices and are paid by the recipient.
We may change our prices, but a change never affects an order you have already paid for.
Mistakes in prices: we check our prices carefully, but mistakes can happen. If we find that the price of your order was wrong, we will contact you. If the correct price is higher, you can choose to pay it or to cancel for a full refund. If a mistake was obvious and you could reasonably have recognised it, we do not have to supply the goods at the wrong price.
9. Payment
You pay in full when you order, on the secure payment page of our payment provider, Stripe. We never see or store your full card number. A receipt for each order is available in your account.
10. Delivery
We deliver to the countries offered at checkout. The delivery options and charges for your address are shown before you pay. Our delivery and production page gives our current production and delivery times. These are estimates, not guarantees.
Unless we agree a different date with you, we will deliver within 30 days after the contract is made. When your order is dispatched we show the tracking details in your account.
Consumers: if we do not deliver on time, you can give us a further reasonable period to deliver. If we still do not deliver, or if delivery on time was essential and you told us so before you ordered, you can end the contract and we will refund you for anything not delivered.
Please make sure your delivery address is complete and correct. If a parcel comes back to us because the address was wrong or nobody collected it, we will contact you to arrange a new delivery, and we may charge the cost of sending it again.
The goods are your responsibility from the time they are delivered to the address you gave us, or collected by you or someone you chose. You own the goods once we have received full payment.
11. Cancelling your order
Consumers
- Personalised cards are made to your design, so the 14-day right to cancel does not apply to them (Consumer Contracts Regulations 2013, regulation 28(1)(b)). Your rights if they are faulty or do not match your approved proof are not affected (see section 12).
- Accessories that are not personalised, such as standard lanyards and card holders, can be cancelled within 14 days after the day you receive them, without giving a reason.
How to cancel, how to return items and how refunds work are explained on our cancellations, returns and refunds page, which includes a model cancellation form. If an order contains both kinds of item, you can cancel the accessories only.
Business customers
Business customers do not have a legal right to cancel. If you change your mind, contact us as soon as possible and we will see what we can do.
12. Faulty, damaged or misprinted goods
Consumers
We must supply goods that are as described, fit for purpose and of satisfactory quality, and cards that match the proof you approved. This is a summary of your key legal rights under the Consumer Rights Act 2015:
- up to 30 days after delivery, you can reject faulty goods and get a full refund;
- up to six months after delivery, if a fault appears, you are entitled to a repair or replacement (for cards, a reprint), and if that is not possible or does not work, a refund or a price reduction;
- after six months, you may need to show that the fault was there when the goods were delivered.

Business customers
If cards or accessories are faulty, damaged in delivery or do not match your approved proof, tell us within 14 days of delivery and we will reprint or replace them, or refund you for them.
Everyone
A mistake that was in the proof you approved, such as a misspelt name, is not a fault in our printing. We can reprint the card for you at our normal price. How to report a problem is explained on our returns page.
13. Our responsibility for loss or damage
Consumers
If we break these terms or fail to use reasonable care and skill, we are responsible for loss or damage you suffer that is a foreseeable result. Loss or damage is foreseeable if it was obvious it would happen, or if we both knew it might happen when the contract was made. We are not responsible for loss or damage that is not foreseeable. We supply our products for domestic and private use. If you use them for a business, we are not responsible for any loss of profit, loss of business, business interruption or loss of business opportunity.
Business customers
We are not responsible for loss of profits, sales, business or revenue, business interruption, loss of anticipated savings, loss of business opportunity, goodwill or reputation, or any indirect or consequential loss. Our total responsibility to you for all losses arising under or in connection with an order is limited to the total price you paid for that order.
Everyone
We do not exclude or limit our responsibility where it would be unlawful to do so. This includes our responsibility for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, and, for consumers, for breaking your legal rights in relation to the goods.
14. Personal data
Our privacy notice explains how we use personal data for which we are responsible, such as your account and order details.
When you upload or type in details of other people to put on cards, such as your staff or members, we handle those details on your behalf as your processor. Our data processing agreement covers this and forms part of these terms.
15. Accounts and organisations
- Designs and orders belong to an organisation account. Owners of the organisation can invite colleagues as designers, who can edit and order, or as viewers, who can only look. Owners can remove people at any time.
- Keep your sign-in details safe and do not share them. Tell us straight away if you think someone else has used your account.
- You are responsible for what is done through your account, including orders placed by colleagues you invited.
- You can ask us to close your account at any time. We keep order records for as long as the law requires (see our privacy notice).
- We may suspend or close an account that is used in breach of these terms or our website terms of use. We will tell you why, unless the law stops us.
16. Events outside our control
We are not responsible for delays or failures caused by events outside our reasonable control, such as problems with delivery companies or suppliers, power or internet failures, severe weather, fire, flood, strikes or government action. If this happens we will tell you as soon as we can and do what we reasonably can to reduce the delay. If there is a risk of a long delay, you can contact us to end the contract and get a refund for anything you have paid for but not received.
17. Changes to these terms
We may update these terms, for example when the law or our services change. The version number and the date it came into force are shown at the top of this page. The terms in force when you placed an order apply to that order.
18. Other important terms
- We may transfer our rights and obligations under these terms to another organisation. We will tell you, and it will not reduce your rights. You may transfer your rights only with our written agreement.
- Only you and we have rights under this contract. Nobody else can enforce it.
- If a court decides that part of these terms is unlawful, the rest stays in force.
- If we do not insist straight away that you do something, or we delay taking action, we can still do so later.
- Business customers: these terms, your order and the data processing agreement are the whole agreement between us. You have not relied on any statement that is not in them. This does not limit responsibility for fraud.
19. Complaints and which law applies
If you are unhappy, please tell us. Our complaints page explains what we will do.
These terms are governed by the law of England and Wales.
Consumers: you can bring legal proceedings in the courts of England and Wales. If you live in Scotland you can also bring them in Scotland, and if you live in Northern Ireland you can also bring them in Northern Ireland. If you live outside the United Kingdom, you also keep the protection of the mandatory consumer laws of the country where you live.
Business customers: the courts of England and Wales have exclusive jurisdiction.
